  • 5. Archive dead and unreachable records instead of deleting them; keep the source and the reason.
  • 6. Set a next action and next action date on every remaining open record.

Separating the three pipelines

Sellers move through condition, motivation, timeline and offer. Buyers move through criteria, verification, funding proof and activity. Partners and vendors move through role, capability, availability and reliability. Forcing them into one stage list is why the CRM stops describing reality.

Each pipeline should be readable in one screen: who, what they need, where they are, and what happens next.

Keeping it clean afterwards

  • Required fields at intake, not at the end of the process.
  • A weekly review of records with no next action date.
  • A single owner per record.
